How private tutors and test prep coaches usually bill

  • Per session or hourly, often with different rates for subjects or test prep
  • Prepaid packages of sessions, priced slightly below the single-session rate
  • Monthly billing for a standing weekly schedule
  • Travel fees for in-home sessions beyond a set distance

Payment terms

Many tutors ask for packages to be paid before the first session and bill standing weekly students at the start of each month. For pay-as-you-go families, invoicing every two weeks or monthly with the session dates listed keeps things clear. A 24-hour cancellation policy, in writing, protects your time. Short terms such as due on receipt or within seven days are normal. Set an expiration date on packages so unused sessions do not hang over your schedule indefinitely.

Common mistakes on tutoring invoices

  • Not listing session dates, which leads to disputes about attendance
  • Selling packages with no expiration date
  • Waiving cancellation fees so often that the policy stops meaning anything
  • Billing the student instead of the parent or guardian who pays

Tutoring invoice questions

How do private tutors bill parents?

Most bill per session, monthly for a standing schedule or for a prepaid package. The invoice should list the student, subject and every session date so parents can check it against their calendar.

Should tutors charge for late cancellations?

Many charge a full or partial session fee when a family cancels with less than 24 hours notice. Put the policy in writing before the first session and show the fee as its own line with the date.

Is tutoring taxable?

Tutoring is usually treated as a service that is not subject to sales tax, but rules vary by state, and books or materials you resell may be taxable. Check your state rules.

Do tutoring packages need an expiration date?

It is a good idea. A window such as three or four months keeps sessions on track and keeps unused balances from piling up. Show the expiration date on the invoice.
