How flooring installers and flooring contractors usually bill

  • Install labor per square foot, with different rates for tile, hardwood, LVP and carpet
  • Material billed per square foot including a waste factor, often paid as a deposit before ordering
  • Per-step pricing for stairs
  • Flat or hourly charges for subfloor repair found after removal

Payment terms

Flooring contractors commonly collect the cost of the material up front, since special-order flooring is rarely returnable, then bill labor on completion. Check your state rules on home improvement deposits before setting the amount. Subfloor problems often show up only after the old floor comes out, so get written approval for that extra work before you continue and add it to the final invoice as its own line. For builders and property managers, Net 15 or Net 30 is typical. Note the product lot number so the client can match boxes for future repairs.

General guidance, not legal or tax advice.

Common mistakes on flooring invoices

  • Billing material by the room's square footage without the waste factor
  • Not pricing subfloor repairs separately, so surprise prep work eats the margin
  • Leaving out stairs, which take far longer per square foot than open floor
  • Not recording the product lot number for future matching

Flooring invoice questions

How do flooring installers charge?

Most charge install labor by the square foot and bill stairs per step. Removal, subfloor prep, transitions and furniture moving are usually separate lines.

How much waste should I add for flooring material?

It depends on the product and the layout. Straight-lay plank often needs less than a diagonal or herringbone pattern or tile with many cuts. Put the waste factor on the invoice so the client sees why the material quantity is higher than the room size.

Should I take a deposit for flooring?

Many installers collect the material cost before ordering, since special-order flooring is hard to return. Check your state limits on home improvement deposits first.

How do I bill for subfloor repair I find during a job?

Stop, show the client, and get written approval with a price before you fix it. Add it to the invoice as its own line so it is clear it was not part of the original quote.
