What to include on an electrician invoice

  1. 1Your electrical contractor license number, if your state or city requires it on invoices
  2. 2Job address and the circuit, room or panel the work covered
  3. 3Service call or trip charge as its own line
  4. 4Labor hours with the rate, or a flat-rate price per task
  5. 5Materials by type: wire, breakers, boxes, devices, fixtures
  6. 6Permit number, permit fee and inspection result or date
  7. 7After-hours or emergency rate when the call came in outside normal hours
  8. 8Warranty terms for labor and the parts you installed

How electricians and electrical contractors usually bill

  • Flat-rate pricing per task, such as swapping a breaker or adding an outlet, taken from a price book
  • Hourly labor plus materials at cost with a markup, common on troubleshooting and remodel work
  • A service call fee that covers the trip and the first block of diagnostic time
  • A fixed bid for larger jobs like panel upgrades or new construction wiring, often with a deposit up front

Payment terms

For residential service calls, most electricians collect payment when the job is done, so "Due on receipt" is the usual term. For panel upgrades, rewires and new construction, it is common to ask for a deposit before ordering gear, then bill the balance after final inspection. On commercial work with a general contractor, terms are often Net 30 and set by the contract. Send the invoice the same day the work is finished or inspected, while the details are fresh, and note the permit number so the client can match it to city records.

General guidance, not legal or tax advice.

Common mistakes on electrician invoices

  • Lumping wire, breakers and devices into one "materials" line, which invites questions on bigger jobs
  • Forgetting to bill the permit and inspection fee you paid out of pocket
  • Leaving the license number off when the state or city requires it
  • Not noting the after-hours rate on emergency calls, so the higher total looks like an error
  • Billing a remodel job before the final inspection passes, then having to come back unpaid

Electrician invoice questions

Do electricians have to put a license number on invoices?

Many states and some cities require contractors to show a license number on invoices, contracts or ads. Rules differ, so check with your state licensing board. Adding it even when it is optional shows the client you are licensed.

Should an electrician charge sales tax on an invoice?

It depends on the state. Some tax the materials, some tax the whole job and some tax neither when the work is a repair to real property. Ask your state revenue department or an accountant. The tax line in this sample is only an example.

How do I bill a service call that turns into a bigger job?

Keep the service call as its own line, then add the repair as flat-rate items or hourly labor plus materials. If the client approves extra work on site, write a short note on the invoice saying what they approved and when.

Can I charge for the permit on an electrical invoice?

Yes. Most electricians pass the permit and inspection fee through to the client as a separate line. Some add a small charge for the time spent pulling the permit. Say which you do in your estimate so it is not a surprise.

What warranty should I write on an electrical invoice?

State how long you stand behind your labor, such as one year, and note that parts are covered by the manufacturer warranty. Put it in the notes so the client has it in writing with the invoice.
