What to include on a plumbing invoice

  1. 1Dispatch, trip or service call fee, and whether it is waived when the repair goes ahead
  2. 2Emergency or after-hours rate with the time of the call
  3. 3Fixture or system worked on: water heater, sewer line, kitchen drain, shutoff valves
  4. 4Flat-rate repair price or labor hours with the rate
  5. 5Parts listed by item: valves, fittings, cartridges, pipe by the foot
  6. 6Disposal fee for old fixtures and water heaters
  7. 7Permit fee and permit number when the job needed one
  8. 8Warranty on the repair and on the equipment

How plumbers and plumbing contractors usually bill

  • Flat-rate pricing from a price book, so the client knows the price before work starts
  • Time and materials, with parts marked up from cost, common on remodels and hard-to-scope jobs
  • A dispatch or diagnostic fee, often credited toward the repair if the client approves it
  • Per-foot pricing for repipes and sewer line replacement, with a deposit on larger jobs
  • Higher rates for nights, weekends and holidays

Payment terms

Plumbing service work is usually paid on the spot, so most plumbers use "Due on receipt" and take a card before leaving the house. For repipes, sewer replacements and remodel rough-ins, ask for a deposit before buying materials and set the balance due when the work passes inspection. Property managers and landlords often expect Net 15 or Net 30, which you can agree to in writing before the first job. If a client approves extra work mid-job, write it up as a change and get a signature before you start so the final invoice matches what was agreed.

Common mistakes on plumbing invoices

  • Not saying whether the dispatch fee is credited toward the repair
  • Writing "parts" with no detail on a water heater or repipe job
  • Leaving off the disposal charge for the old fixture
  • Billing emergency calls at the regular rate because the time of the call was not recorded

Plumbing invoice questions

What should a plumbing invoice include?

Your business name and contact details, license number if your state requires it, the job address, the date, each repair or install with its price, parts, any dispatch or disposal fee, permit costs, tax if it applies, the total and how to pay.

How do plumbers charge for emergency calls?

Most add an after-hours dispatch fee or bill labor at a higher rate for nights, weekends and holidays. Put the time of the call on the invoice and show the emergency charge as its own line.

Do I charge sales tax on plumbing parts?

Sales tax rules for plumbing parts and labor vary by state, and some states treat installation on a home differently from a repair. Check with your state revenue department. The tax in this sample is only an example.

Should I list parts separately on a flat-rate plumbing invoice?

You do not have to, since a flat rate usually includes parts. Many plumbers still list the main parts, such as the water heater model, so the client has a record for warranty claims.
