The standard invoice format that clients and accountants expect, section by section, plus the variations for tax invoices, services, products and international sales.
BillingOtter Team
An invoice has a conventional order because accounts teams read hundreds of them. Put things where people expect them and your invoice gets approved without a question.
Top left: your logo and business name, address, phone, email, website and tax number. Top right: the word INVOICE, the invoice number, the issue date and the due date. Keep the header to a third of the page.
Below the header, a Bill to block with the client's legal name, address and tax number where required. If goods ship somewhere else, add a Ship to block beside it. A purchase order number goes here too when the client issued one.
A table with four columns: Description, Quantity, Rate (or unit price) and Amount. Services can use hours as the quantity; products use units. Group items under headings if the invoice is long, and keep each description specific enough to be checked against the order.
Right-aligned under the table: Subtotal, Discount (if any), Tax with its rate, and Total due in bold. If part has been paid, add Amount paid and Balance due.
How to pay (bank details or payment link), when (repeat the due date or the terms), what happens if payment is late, and a short thank-you. Keep it to four or five lines.
