How house painters and painting contractors usually bill

  • Per square foot of wall or floor area, with ceilings and trim priced separately
  • Per room for standard interior work
  • Hourly for prep, repairs and small touch-up jobs
  • Paint and supplies at cost plus a markup, or included in the per-room price
  • A deposit before the start date, with the balance due when the walkthrough is done

Payment terms

Residential painters often take a deposit to hold the start date and buy paint, then collect the balance after the final walkthrough. Some states limit up-front deposits on home improvement jobs, so check your rules. Exterior jobs that run more than a week may be split into a payment at the halfway point and one at the end. Commercial painting for property managers usually runs Net 30. Do the walkthrough with the client before you send the final invoice, fix any touch-ups first, and note that the walkthrough was completed.

General guidance, not legal or tax advice.

Common mistakes on painting invoices

  • Not recording color codes and sheen, which the client needs for touch-ups later
  • Hiding prep work inside the per-room price, then having no basis to bill for heavy patching
  • Sending the final invoice before the walkthrough, which delays payment while touch-ups get argued
  • Forgetting to subtract the deposit from the balance

Painting invoice questions

How do painters write an invoice?

List each area painted, the surfaces and coats, any prep or repairs, paint and supplies if billed separately, the deposit already paid and the balance due. Add color codes so the client can order matching paint later.

Should painters charge for paint separately?

Both ways are common. Some painters include paint in the per-room or per-square-foot price; others list gallons and bill them at cost plus a markup. Separate lines help when the client picks premium paint.

How much deposit do painting contractors take?

Many take enough to cover paint and supplies before starting. Some states limit how much a home improvement contractor can collect up front, so check your state rules before you set a number.

Do painters charge sales tax?

Rules differ by state. Some states tax the paint and materials, some tax the full job, and some tax neither. Ask your state revenue department. The tax line in this sample is only an example.
