How independent consultants and small advisory firms usually bill
- Hourly or daily rates, logged by task
- Fixed project fees for a defined scope, often split into phases
- Monthly retainers for ongoing access, with an hours cap or a set scope
- Reimbursable travel and expenses at cost, as agreed in the contract
Payment terms
Consultants usually bill retainers at the start of each month and hourly or project work at the end of the month or at each phase. Corporate clients often pay on Net 30 and may need a purchase order and vendor setup before they can pay anything, so collect that paperwork before the first invoice. Asking for the first month or a project deposit up front is normal. Attach your hours log to hourly invoices, since a detailed log is what an accounts payable team needs to approve them quickly.
General guidance, not legal or tax advice.
Common mistakes on consulting invoices
- Sending invoices without the PO or SOW number, which stalls approval in accounts payable
- Billing hours as a single block with no task notes
- Letting retainer clients use extra hours without billing the overage
- Paying travel costs and forgetting to bill them back with receipts
Consulting invoice questions
How often should consultants invoice?
Monthly is the usual rhythm for hourly and retainer work. Project work is often billed by phase or milestone. Pick a schedule, write it into the contract and stick to it.
Should a consultant charge sales tax?
Consulting is generally an untaxed service, but some states tax certain professional or business services. Check the rules where you and your client are based.
How do I bill expenses as a consultant?
List each reimbursable expense on its own line at cost and attach receipts. If you add a handling fee, it should be in the contract first.
What goes in a consulting retainer invoice?
The retainer amount, the period it covers, what it includes (such as 10 hours or a set scope) and any overage hours from the previous period with dates and descriptions.
Do I need to give my client a W-9?
US business clients usually ask independent consultants for a W-9 before the first payment so they can issue a 1099 if required. This is general guidance, so ask a tax professional about your situation.
