How local movers and moving companies usually bill

  • Hourly rate by crew size, with a minimum number of hours
  • Travel time or a flat truck fee added to the hourly total
  • Flat rate for small or well-defined moves from an in-home or video estimate
  • Packing labor and materials priced separately
  • Booking deposit to hold the date, applied to the final bill

Payment terms

Most local movers take a booking deposit to hold the date and collect the balance on move day before the truck is unloaded or right after. Due on completion is the norm, since chasing a client who has just moved is hard. Commercial and office moves may use Net 15 or Net 30 with a signed agreement. Interstate moves are covered by federal rules on estimates and payment, so check FMCSA requirements if you cross state lines. State moving rules also vary, and some states regulate local movers, so confirm your state requirements before setting your terms.

Common mistakes on moving invoices

  • Not writing down start and end times with the client present, which leads to disputes over hours
  • Adding stair or long carry fees that were not mentioned in the estimate
  • Forgetting to subtract the booking deposit from the final total
  • Leaving the valuation coverage choice off the paperwork

Moving invoice questions

What should a moving invoice include?

Both addresses, crew and truck size, start and end times, hourly rate and total hours, travel time, materials, extra fees, the deposit received, the balance due, valuation coverage and the damage claim process.

When do movers get paid?

Local movers usually collect a deposit at booking and the balance on move day. Commercial moves may be invoiced on Net 15 or Net 30 terms.

Do movers charge sales tax?

Moving services are not taxed in most states, but packing materials you sell may be, and some states have their own rules. Check with your state revenue department.

How should I show the deposit on a moving invoice?

List the full charges first, then show the deposit with its date as a payment received, and the balance due after the deposit.
